Privacy Policy

    Effective October 17, 2026

JobTracker Pro is a professional relationship platform for job seekers, networkers and the organizations that support them. This policy explains what information we collect, how we use it, who can see it, and the choices you have. It applies to our website, the JobTracker Pro app, the public pages you create with it, and our chat assistants. “We,” “us” and “our” mean JobTracker Pro.

    The short version

    • We don’t sell your personal information, and we don’t use it for advertising.
    • Your LinkedIn profile text, and the LinkedIn data file you upload to the Recruiter-Search Audit, are read on your own device and never sent to us. Only your score and findings are saved to your account, automatically as you use the audit.
    • You decide what’s public. Your Public Profile and your connection profiles can be seen by anyone with the link; the rest of your account is private to you.
    • If your account is connected to an organization, such as a career center or coaching program, that organization can see some of your information (see section 6).
    • You can download your data at any time, and ask us to delete your account.

    1. Information we collect

Your account. When you sign up, we collect your name, email address and a password. Passwords are handled by our sign-in provider, Supabase, and stored only in a scrambled (hashed) form that we can’t read. We also keep a record of which version of our Terms and Conditions you accepted when you signed up, and of any notices about changes to our policies that you acknowledge.

Your profile. Whatever you add in Account Settings — for example your phone number, location, job title, experience level, industry, LinkedIn and portfolio links, bio, salary expectations, availability, work preferences, skills, certifications, education, languages, core values and networking goals.

Your job search. The applications you track — companies, roles, job descriptions, salary details, statuses, interview notes and outcomes — and documents you upload, such as resumes and cover letters.

Your network. Contacts and companies you add and the details you record about them (such as names, email addresses, phone numbers, job titles, notes, birthdays, work anniversaries, tags and how you met), plus the activities, calendar events, networking events, introductions, collaborations and custom fields you create. If you import your LinkedIn connections from a file, they’re saved as contacts.

Your public pages. What you choose to put on your Public Profile and your connection profiles, including photos, media, links, skills and documents. A connection profile shows the name, title, company and photo from your Public Profile, plus whichever of its phone number, email address and LinkedIn link you choose to show on it.

The LinkedIn Recruiter-Search Audit. Profile text you paste and the LinkedIn data file you upload are processed in your browser and never sent to our servers. Only the parts of the file the audit needs are read; other files in the download, such as your messages and connections, are skipped without being opened. A draft is kept on your device so you can pick up where you left off. As you use the audit, we automatically save your score, the findings, the role you checked against and its fit score to your account — never your profile text. If you choose “Also save to my Account Settings,” the industry, education, languages or certifications from your LinkedIn file are saved there.

Messages you send us. What you write in our contact and support forms, and your conversations with our chat assistants (see section 5).

Payments. Payments are processed by Stripe. Your card details go directly to Stripe and never reach our servers. We keep your plan, billing interval, subscription status, and the identifiers Stripe gives your account and subscription.

Email logging (optional). If this feature is available to you and you turn it on, emails you send with your personal logging address in BCC are recorded in your contact history. We store the sender, recipients, subject line, date and a short excerpt — not the full email. It stays off unless you turn it on.

    2. Information about other people

JobTracker Pro is a place to keep track of your professional relationships, so it holds information about people other than you — your contacts. Please only add information you have the right to keep and use. We process it only to provide the service to you: we don’t contact your contacts, sell their information or use it for anything else. If you believe a JobTracker Pro user has your information and you’d like it removed, contact us and we’ll help.

If you visit someone’s public page

    • If you fill in the “Share my details” form on their Public Profile, the name, email address, phone number, company, title and message you enter are shared with that person.
    • If you write them a recommendation, your name, title, company, email address and recommendation are shared with that person. Once they approve it, the recommendation appears on their profile with your name, title and company.
    • Viewing the page, clicking a link on it or endorsing a skill is counted without recording who you are. To count each visitor once, we keep a one-way, salted hash of your IP address (or of your account, if you’re signed in) — for a day for views and link clicks, and for as long as the profile exists for endorsements.

    3. Information collected automatically

    • Website analytics. We use Vercel Web Analytics to see how many people visit which pages, along with general information such as the referring site, browser type and country. It doesn’t use cookies and doesn’t store IP addresses. Analytics is currently on in this browser. Turn it off.
    • Technical logs. Our hosting and database providers keep standard technical logs, such as IP addresses and request times, to operate and secure their services.
    • Abuse protection. To limit abuse of the chatbot, our contact and support forms, and the contact and recommendation forms on Public Profiles, we store a one-way, salted hash of your IP address — not the address itself. (On a Public Profile, if you’re signed in, we hash your account instead.) For the chatbot it’s kept with a random session ID. For the forms it’s kept for one day, along with a salted hash of the email address you enter on our own contact form.
    • Storage on your device. We use your browser’s local storage to keep you signed in, save your LinkedIn audit draft and remember preferences. We don’t use advertising or tracking cookies. Stripe may set its own cookies on its checkout pages.

    4. How we use information

    • To provide the service: storing and organizing your records, showing your dashboards, and running features such as reconnect reminders, relationship insights and the LinkedIn audit. These insights are calculated from your own data, and many are calculated right in your browser.
    • To run the AI features you choose to use (section 5).
    • To process payments and manage your plan.
    • To answer your support requests and messages.
    • To keep the service secure, prevent abuse and fix problems.
    • To understand and improve JobTracker Pro, using aggregate analytics and by reviewing chat assistant conversations to improve the answers.
    • To send emails about your account, such as confirming your sign-up or resetting your password.
    • To meet our legal obligations.

We don’t sell your personal information, share it for cross-context behavioral advertising, or use your content to train AI models.

    5. AI features

Some features use Claude, an AI model made by Anthropic. When you use one, the information needed for that request is sent to Anthropic to be processed:

    • Drafting outreach messages: the details you’ve recorded about that contact (such as their name, title, company, notes and how you met), the activities and history you’ve logged with them, and any note you add.
    • Profile writing help: the text you’re working on and any job description or context you provide.
    • Chat assistants: the messages you type. The chatbot on our website and the help assistant in the app answer from information about JobTracker Pro; they don’t look at your account data.

Under Anthropic’s commercial terms, information sent through its API isn’t used to train its models. We keep chat assistant conversations so we can review and improve the answers. Conversations with the in-app assistant are linked to your account; conversations with the website chatbot are linked only to a random session ID, unless you choose to leave your name and email so we can get back to you.

The LinkedIn Recruiter-Search Audit and the relationship insights don’t use AI.

    6. Who can see your information

    Service providers

We use these companies to run JobTracker Pro. They handle information on our behalf, only as needed to provide their service:

    Supabase
Our database, sign-in, file storage and server functions. Your information is stored in the United States (Ohio).
    Vercel
Hosts our website and app, and provides our website analytics.
    Stripe
    Processes payments for paid plans.
    Anthropic
Runs the AI features described in section 5.
    Postmark
Receives emails for the email logging feature — only if you turn it on.

    Lookups from your browser

To show images and previews, your browser fetches a few things directly from other services:

    • Company logos and website icons from Google, using the company’s website address.
    • Contact photos from Gravatar, using a one-way hash of the contact’s email address.
    • QR codes for your public pages from QR Server, using your page’s link.
    • Previews of the links and videos you add to your profile, from thumbnail.ws and YouTube.
    • When you open a Word, Excel or PowerPoint file on a profile or an organization event, Microsoft’s Office Online viewer receives a link to the file so it can display it.

    Your organization

If your account is provided by or connected to an organization — such as a career center, coaching program or professional association — here’s what it can and can’t see:

    • Your contacts and your activities are private to you, and so are documents you attach to a contact. No one in the organization — not its administrators, not your leader, not other members — can see them: not their names, companies, titles, notes or anything else about them.
    • If the organization tracks progress, its administrators and your leader may see numbers about them, such as how many contacts you’ve added this month or how many of your follow-ups are overdue — never who or what they are.
    • The organization’s administrators, and the leader assigned to you, can see your profile information. Depending on how the organization is set up, they may also see the companies and job applications you add, and documents you add that aren’t attached to a contact.
    • Administrators and leaders can keep notes about you, for example on your progress in a program. These notes aren’t shown to you in the app.
    • They can see your participation in the organization’s programs and events, and your answers to its polls — with your name, unless a poll is marked anonymous.
    • Other members of the organization can see your name, your job title and when your account was created. You appear in the member directory, and can receive introduction requests from other members, only if you choose to. If you do, we check privately whether you know someone at a company another member is looking for and tell them only how many members might help, never who. They learn who you are only if you choose to answer their request.
    • Referrals you record with another member are visible to that member and to the administrators.

    Your public pages

What you put on your Public Profile and your connection profiles can be seen by anyone with the link, can be shared further by the people who see it, and may appear in search engines. Don’t put anything there you want to keep private. Search engines and AI search assistants can find these pages, so people can find you, but we ask the crawlers AI companies use to collect training data not to collect them. Reputable AI companies honor that request; it isn’t a technical block, and it doesn’t undo anything collected before October 16, 2026. Photos and files you upload for these pages are stored at web addresses that anyone with the link can open — as are a photo you add to an organization’s member directory and files attached to an organization’s events.

    Our team

Authorized administrators on our team can access accounts when needed to provide support you’ve asked for, investigate problems or abuse, and keep the service running — including by viewing the app as you see it.

Legal reasons, business changes and consent

We may disclose information if the law or legal process requires it, or when we believe in good faith that it’s needed to protect the rights, property or safety of our users, the public or JobTracker Pro. If JobTracker Pro is involved in a merger, acquisition or sale of assets, your information may be transferred as part of it, and this policy will continue to apply. Otherwise, we share your information only with your consent.

    7. Your choices and rights

    • Download your data. Download a copy of your information at any time with “Download your data” in Account Settings.
    • Correct it. Edit your profile and records whenever you like.
    • Delete it. You can delete individual records in the app; deleted contacts go to a trash first, so you can restore them. To delete your whole account and its data, contact us.
    • Control what’s public. Edit or remove anything on your public pages, and choose whether to list yourself in an organization’s member directory.
    • Turn off website analytics. Visit this link on any browser you use; this one turns it back on.
    • Email logging stays off unless you turn it on, and you can turn it off at any time.

We respond to privacy requests within 30 days. We may need to confirm your identity first, and we won’t treat you differently for exercising your rights.

    If you live in California

You have the right to know what personal information we collect, use and disclose; to access, correct and delete it; and not to be discriminated against for using these rights. In the last 12 months we have collected the kinds of information described in sections 1 to 3: identifiers (such as your name and email address), professional and employment information, commercial information (your plan), internet activity (analytics) and the content you provide. We don’t sell personal information or share it for cross-context behavioral advertising, and we don’t use sensitive personal information to infer things about you.

If you’re in the European Economic Area, the United Kingdom or Switzerland

We use your information to provide the service you’ve asked for, for our legitimate interests in running, securing and improving it, to meet legal obligations, and with your consent where it’s required. You can ask to access, correct, delete, restrict or receive a copy of your information, and object to processing based on our legitimate interests. You can also complain to your local data protection authority. Your information is stored and processed in the United States.

    8. How long we keep information

We keep your information for as long as your account is active. When your account is deleted, we delete your information or make it anonymous, except where we need to keep some of it to meet legal obligations (such as billing records), resolve disputes or enforce our agreements. Copies may remain in backups for a limited time until they’re replaced. We keep support messages and chat assistant conversations for as long as they’re useful for support and for improving our answers.

    9. Security

We protect your information with encryption in transit and at rest, database access rules that keep each account’s records private to that account (and to the organization roles described in section 6), hashed passwords, and administrator access limited to authorized team members. Documents you upload, such as resumes and cover letters, are kept in private storage and open only through the app. No system is perfectly secure, so we can’t guarantee absolute security. If we learn of a breach that affects your personal information, we’ll notify you as the law requires.

    10. Children

JobTracker Pro is for professionals and isn’t directed to children. We don’t knowingly collect information from anyone under 16. If you believe a child has given us information, contact us and we’ll delete it.

    11. Changes to this policy

We’ll update this policy as JobTracker Pro changes. We’ll post the new version on this page with a new effective date, and if the changes are significant we’ll let you know in the app or by email before they take effect.

    12. Contact us

Questions, requests or concerns about your privacy? Reach us through our Contact page, and mention privacy in your message so it gets to the right person.
